1. Who is responsible for your data
THESWIFTCOMPANY LTD (company number 17228088) of 124 City Road, London, EC1V 2NX, United Kingdom ("we", "us", "our") is the data controller responsible for the personal information collected through theswiftcompany.co.uk (the "Site"). We are registered with the Information Commissioner's Office (ICO) as a data controller, registration reference ZC152474 — you can check it on the ICO's register of fee payers.
Our Site is powered by Shopify. Shopify hosts the Site and provides the tools we use to run our store.
This policy explains what we collect, why we collect it, and your rights. If you have any questions, email hello@theswiftcompany.co.uk.
2. What we collect
We collect the following categories of personal information:
- Contact details: your name, email address, billing address, shipping address and phone number.
- Payment information: card details and payment method details. These are processed by our payment providers (including Shopify Payments), and we do not store full card numbers on our systems.
- Order information: what you buy, quantities, prices, and your order history, including returns and exchanges.
- Account information: if you create an account, your login details, saved addresses and preferences.
- Marketing preferences: whether you have joined our email club and your consent choices.
- Communications: anything you send us by email or through our contact forms or chat widget.
- Device and usage information: your IP address, browser type, device type and how you use and navigate the Site.
We also collect information automatically through cookies and similar technologies — see the Cookies section below.
3. Where we get your information
We collect it: directly from you (when you order, email us, sign up to our email club or use the Site); automatically (through cookies and similar technologies when you use the Site); and from service providers who process information on our behalf or who enable the technology that makes the Site work (such as Shopify and the apps listed in the Cookies section).
4. Why we use your information
We use your personal information for these purposes, and under these legal bases:
- To provide the Site, process your orders, take payment, arrange delivery and handle returns and exchanges (contract performance).
- To manage your account, answer your questions, and provide customer support (contract performance and legitimate interests).
- To send you marketing emails about our products and offers, if you have signed up to our email club or otherwise given consent (consent). Existing customers may receive emails about products similar to ones they have bought, based on our legitimate interests; you can unsubscribe from any email we send.
- To place analytics, advertising and conversion-tracking cookies and pixels, where you have consented (consent) — including the Meta Pixel (Facebook and Instagram), Google Ads, Google Analytics 4, the Google Merchant Center tag, the TikTok Pixel and the Pinterest tag. See section 7 for details.
- To run promotions such as our scratch-card offers and discount codes, and to operate review requests (legitimate interests).
- To prevent fraud, misuse and security incidents, and to comply with our legal obligations (legitimate interests and legal obligation).
We will only send marketing with your consent, and you can withdraw consent or unsubscribe at any time using the link in any email.
5. Who we share your information with
We share personal information only as needed to run the business, with:
- Shopify and its group companies, which host the Site, process payments and provide our email marketing; plus the categories of third-party apps that run on the Site, including a review platform, a live-chat service, and promotional/popup and cart widgets.
- Delivery providers (Royal Mail) to fulfil your orders.
- Payment providers to process transactions.
- Professional advisers (such as accountants) and, where required, regulators, courts or law enforcement.
We do not sell your personal information.
Where you have consented, we share information with advertising platforms so that they can measure and target our advertising — Meta (Facebook and Instagram), Google (Google Ads, Google Analytics 4 and Merchant Center), TikTok and Pinterest. For Meta and TikTok this can include your email address, phone number and approximate location, shared using server-to-server connections, so that these platforms can match our advertising to you. We only do this where you have given consent.
6. International transfers
The Site is hosted by Shopify, whose infrastructure may process data outside the UK. Where personal information is transferred outside the UK or EEA, we rely on appropriate safeguards for the transfer, such as the UK International Data Transfer Addendum / Standard Contractual Clauses, or an adequacy decision where one applies.
7. Cookies and similar technologies
Cookies are small files stored on your device. Other technologies, such as tracking pixels, work in a similar way.
When you first visit the Site, a consent banner asks which types of cookies you allow. We only load analytics, advertising and conversion-tracking cookies and pixels if you accept them — nothing in those categories is set before you make a choice. You can change or withdraw your choice at any time using the Cookie preferences link in the footer of our Site. Withdrawing consent does not affect the lawfulness of any processing carried out before you withdrew it.
Categories of cookies we use:
- Essential cookies (always active): required for the Site to work — Shopify's core cart and checkout cookies, security cookies, and your consent preference itself.
- Functional cookies: remember preferences such as your currency, country and what is in your cart, and support features like the free-shipping progress bar and popup offer displays.
- Analytics, advertising and conversion-tracking cookies and pixels (consent required): set only if you accept them. They are used by us and by the providers below to measure how the Site is used, to measure the results of our advertising, and to show you relevant adverts on other websites.
We use the following providers:
- Meta (Facebook and Instagram) — measure and target our advertising.
- Google Ads — measure the results of our Google advertising.
- Google Analytics 4 — measure how the Site is used.
- Google Merchant Center — measure the performance of our product listings.
- TikTok — measure and target our advertising.
- Pinterest — measure and target our advertising.
- Shopify — our store platform's own analytics and marketing features.
Cookies set for these purposes include, for example, _fbp and _fbc (Meta), _gcl_au (Google Ads), _ga and _ga_GTSNWE3NJ0 (Google Analytics 4), _ttp and ttcsid (TikTok) and _pin_unauth (Pinterest). Cookie names can change when a provider updates its technology.
You can find more detail on the cookies Shopify sets on your behalf in Shopify's privacy and cookie policy.
8. Reviews and chat
If you post a review, it is collected and displayed through our third-party review platform. We may ask for feedback on your purchase by email. If you use our live chat, the provider processes your messages to deliver the chat service.
9. Children
The Site is not directed at children and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us their information, contact us and we will delete it.
10. How long we keep your data
We keep your information only as long as necessary: order records are kept for tax and accounting reasons for at least 6 years as required by law; marketing data until you unsubscribe; and other records for as long as needed to provide services, resolve disputes or comply with legal obligations.
11. How we protect your data
We use appropriate technical and organisational measures, including HTTPS encryption and Shopify's security infrastructure. No method of transmission over the internet is completely secure, but we take reasonable steps to protect your information.
12. Your rights
Under UK data protection law you have the right to:
- Access a copy of the personal information we hold about you.
- Ask us to correct inaccurate information.
- Ask us to delete your information ("right to be forgotten").
- Object to or ask us to restrict processing, including direct marketing.
- Receive your information in a portable format and, where processing is based on consent, withdraw that consent at any time.
- Complain to the ICO.
To withdraw your cookie consent, use the Cookie preferences link in the footer of our Site. For anything else, email hello@theswiftcompany.co.uk. We will respond within one month.
To contact the regulator: Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF, ico.org.uk. Our registration reference is ZC152474.
13. Changes to this policy
We may update this policy from time to time. The current version is always on this page, and we update the "Last updated" date above. Significant changes will be highlighted on the Site.
